Introduction
Documents and videos that have been published on the intranet can usually be viewed directly in your browser via a preview. In most cases, you don't need to download the file to see its content.
In this article, you'll read how previews work, which guidelines to follow for documents and videos, and what to do if a preview is not available.
A preview usually appears within a minute after publication. In some cases, a file needs additional processing time before the preview becomes available.
How does the preview work?
When you publish a document or video on the intranet, the file is automatically processed so it can be viewed directly in the browser. For documents, this means conversion to PDF, so they can be read without any additional software.
- Documents: Are automatically converted to PDF and displayed in the web browser.
- Videos: Are played directly in a built-in video player on the intranet.
Processing usually takes less than a minute. For larger or more complex files, it may take a little longer.
Guidelines for documents and videos
Follow the guidelines below to make sure your file is displayed correctly in the preview.

Documents — maximum 5 MB
Documents larger than 5 MB are not always shown in the preview. Files that exceed this limit can still be downloaded and opened on your computer. -
Videos — maximum 500 MB
Videos larger than 500 MB cannot be played directly on the intranet.
Do you have a larger video to share? Upload the video to an external video platform (such as a streaming service) and share the link on the intranet. This keeps the page loading quickly while keeping the video accessible to everyone.
Troubleshooting
I don't see a preview after publication
- Wait a few minutes — processing is usually complete within a minute, but may take longer in some cases.
- Refresh the page in your browser to check whether the preview has become available.
- Check that the document is smaller than 5 MB or the video is smaller than 500 MB.
My document or video is too large
- Reduce the size of the document by, for example, compressing images or removing unnecessary pages.
- For large videos, use an external video platform and place a link on the intranet.
- If you can't reduce the file size, readers can still download the document and open it locally.
The file meets the guidelines, but there's still no preview
If no preview is available after 15 minutes while the file falls within the guidelines, the administrator can contact support at support.plek@bcs-hr.com.
