User export in Excel

 

Introduction

In the admin panel you can download an Excel overview of all users with an account. This lets you see at a glance who logged in most recently, sort users by department, or check which days they are present.

In this article you will learn how to download the user overview and how to add extra fields to the export.

Note:
You need admin rights to download the user overview.

 

How does the user overview work?

The user overview is an Excel file containing information about every user in your environment. The file includes a standard set of fields by default, such as name, email address, department, days present and the date of the last login. Open the file in Excel or Google Sheets to filter or sort the data.

  • Standard fields: available in every export by default.
  • Extra fields: profile fields that support can activate on request.

 

Downloading the user overview

Follow these steps to download the overview:

  1. Go to the admin panel.
  2. Open the user overview.

  3. Click the Download users button above the list.

  4. The download starts automatically within about ten seconds. Open the file in Excel or Google Sheets to view, filter and sort the data.
Tip:
Sort the file by the Last login column in Excel to quickly see which users have not signed in for a while.

 

Adding extra fields to the export

Not every field is visible in the export by default. If your profiles contain fields you would like to see in the Excel file, support can activate them for your environment.

  1. Decide which extra fields you want to include in the export.
  2. Send an email to support.plek@bcs-hr.com with the name of the field and the name of your environment.
  3. Support will activate the field and confirm once it is available. From the next download onwards the field will appear as a new column in the Excel file.

 

Troubleshooting

The download does not start

  • Check that pop-ups for BCS Connect/Plek are allowed in your browser.
  • Try a different browser (Chrome, Edge or Firefox).
  • Wait at least twenty seconds — large environments may take a bit longer to generate the file.

A field I expect is missing from the export

  • Not every profile field is included in the export by default. Request activation via support.
  • Check that users have actually filled in the field — empty fields are shown as a column but contain no value.
