What are bulk actions?
Bulk actions allow you to perform a single action on multiple items at once, such as documents, posts, or pages.
This saves time and prevents you from having to edit everything individually.
With bulk actions, you can for example:
- Move content: move multiple posts or documents at once to another group or folder.
- Delete content: remove old or unnecessary documents in one go.
- Change ownership: quickly assign a new owner to multiple pages or documents, for example if a colleague leaves.
Using filters with bulk actions
Filters help you quickly find the right content, especially when dealing with many items.
You can filter by date, owner, or location/channel.
1. Filter by date (1)
Use the date filter to find content based on creation or modification date.
Example:
You want to delete all documents older than January 1, 2022.
→ Set the filter to before January 1, 2022.
2. Filter by owner (2)
Use this filter to find content owned by a specific user.
Example:
Your colleague Betty is leaving the organization and owns all HR pages.
→ Filter by Betty to find her pages and assign a new owner.
3. Filter by location or channel (3)
Use this filter to find content in a specific group, channel, or location.
Example:
You want to move all posts from Channel X to another group.
→ Select Channel X in the filter.
For example: all documents from Betty created before January 1, 2022.
Performing bulk actions
Follow these steps to perform a bulk action:
- Select the items you want to act on (1). (Use filters to narrow down the list.)
- Click on Select action (2).
- Choose the desired action.
- Click Apply (3) to execute the action.
Note: when a page contains subpages, you cannot perform a bulk action on the main page alone. Bulk actions can only be applied to the full set (main page + subpages), or to individual subpages.
Examples of bulk actions
Archive or delete
- Archive: move the selected items to the archive.
- Delete: permanently remove the items.
Change or add author/owner
- Change author: replace all current authors with a new author or owner.
- Add author: add an additional author or owner alongside the existing one.
Move or make public
Posts
- Move to group: move posts to a group.
- Move to channel: move posts to a channel (makes them automatically public).
Pages
- Move to group: move pages to a group.
- Move to everyone: make pages visible to everyone.
Documents
- Move to other group: move documents to another group.
- Share to everyone: share documents publicly.
Some actions, like deleting, cannot be undone.
