Introduction
Reach is the first step in adopting your communication platform: making sure that as many user accounts as possible are activated and that users can successfully log in. Without good reach, everything else you do on the platform is less effective.
In this article you'll learn how to increase your reach. We cover three topics: access and authentication, automatic email notifications, and setting up a campaign around the launch.
Reach is the first of five adoption phases: Reach → Visits → Views → Interaction → Contribution. Each phase builds on the previous one.
Access and authentication
Make sure that everyone who is allowed on the platform can actually log in. Make this as easy as possible: the lower the threshold, the higher your reach.
- Single Sign On (SSO) (recommended): With SSO, users don't have to log in to the platform separately. This simplifies the login process and makes access as low-threshold as possible. See the article Easy login with Single Sign On (SSO) for the options.
- Welcome email: If you don't use SSO, you can use the platform's welcome email. Users activate their account themselves via this email.
- Platform as homepage + app on organization devices: Make the platform the browser's homepage and install the mobile app on organization devices. This way, participation becomes part of daily work. See Features of the mobile app.
Automatic email notifications
With the activation engine you can enable automatic emails that motivate users to participate actively. These mailings are valuable during the launch and afterwards, for new platform users.
Examples of automatic mailings:
- Inactive accounts receive a reminder to activate their account.
- Users who have never posted a message receive encouragement to post a message.
- Users who have not yet logged in to the mobile app receive encouragement to download the app.
Create a campaign
Before the platform goes live, it's essential to involve potential users in the communication about the upcoming launch. An appealing campaign creates positive anticipation. Even if the platform has been live for a while, a campaign can still give adoption a boost.
Build your campaign step by step:
- Communicate clearly about what the platform is, what it's intended for, and which benefits and features it offers.
- Set up a content calendar for after the go-live, so that relevant content is on the platform right from day one.
- Get people excited and involve ambassadors who enthuse and support colleagues.
- Come up with a fun and original go-live campaign — think of posters, flyers, gifts, videos. For inspiration, visit the go-live channel on the customer community.
- Choose a launch moment that ties in with a gathering, a new year's reception, or an outing — a moment when everyone is present and can join in right away.

- Offer training: Offer training to optimize the use of the intranet.
- Accessibility: Ensure accessibility across different devices and locations.
- Onboarding: Integrate the intranet into the onboarding process for new employees.
- Fresh content: Keep the content fresh and relevant.
- Smart notifications: Make smart use of notifications to trigger users.
- Desktop and app: Have users adopt both the desktop version and the mobile app for greater reach.
