Introduction
With a post you share news, updates and media with your colleagues. You can publish a post on the home page, in a specific channel or on behalf of a group, and add media and @mentions to make it more engaging.
In this article you'll learn how to publish a post, which options are available, how to add media, and what to do if you run into issues.
The basic post functionality is available on both desktop and the app. A few advanced options (such as highlighting and posting on behalf of a group) are only available on desktop.
How does posting a message work?
You create a post through the input field on the home page. Before publishing, you decide where the post appears and on whose behalf. Optionally, you add a title, media, attachments and @mentions.
- Quick post (recommended): click the input field on the home page, write your text and publish.
- Advanced post: click Advanced to manage the audience, sender, header image and highlighting.
- Post on behalf of a group: publish in a channel under the name of a group or department. Only available to admins and content managers.
Posting a message
Follow these steps to publish a post on the home page or in a channel.

Click the input field on the home page.
- Click Advanced in the bottom right if you need additional options (optional).
- Set where the post will be published (home page or channel).
- Select on whose behalf the post will appear (yourself or a group).
- Give the post a title.
- Write the content of the post in the text field.
- Optionally add a header image, attachments or media.
- Click Publish to post the message.
Posting a message on behalf of a group
When you publish a post on behalf of a group, your own name remains anonymous and the post appears under the name of the group or department.
This functionality is only available to admins and content managers.
- Hover over Posts in the navigation bar.
- Click New post.
- Select the desired group.

Under Publish as, select group.
- Give the post a title and write the content.
- Click Publish.
Adding media and attachments
You can enrich a post with images, video, audio and documents. Below you'll find how to add each type of media.
Header image
A header image makes your post stand out in the important news overview. The image is shown alongside the title in the overview.
- Click Header image in the post.
- Select an image from your computer.
When you add an image as an attachment, it is automatically set as the header image.
Want to keep the image as an attachment but not as a header? Click Remove image preview next to the image. The image will remain visible as an attachment below the post.
Image in the text
You can add an image (JPEG or PNG) in three ways:
- Drag and drop: drag the image directly from a folder into the post.
- Toolbar: click the image icon in the toolbar to upload a file.
- Quick insert: click the + icon in the text field.
Video
You can upload your own video file or embed a YouTube video using Quick insert or the toolbar.
Audio
You can upload one MP3 file per post, with a maximum size of 500 MB.
- Click the media icon.
- Select the audio file on your computer.
Document
- Click the document icon.
- Choose an existing document or click New document.
- Click Add.
Using an @mention
With an @mention you involve a colleague directly in a post. They receive a notification and see the post on their own timeline.
- Type @ in the text field.

Select a user from the list that appears.
Highlighting posts
A highlighted post is more prominently visible on the timeline and in the important news overview. Use this for announcements that need to reach everyone.
Highlighting posts is only available to admins and content managers.
Pasting text without formatting
Text you paste from Word or another editor often contains hidden formatting. This can cause display issues after publishing. Always paste without formatting using the shortcuts below.
- Windows (Chrome / Firefox): Ctrl + Shift + V
- Mac OS: ⇧ + ⌘ + ⌥ + V
- Chrome (Mac OS): ⇧ + ⌘ + V
Write your text directly in the input field, or paste it first into a plain text editor (such as Notepad or TextEdit in plain text mode) before pasting it into the post.
Troubleshooting
I can't select a channel
- Check that you have the correct permissions for the channel.
- Posting in a channel usually requires content manager or admin rights.
- Ask the channel owner to add you or assign you the appropriate role.
My formatting changes after publishing
- Always paste text without formatting using the shortcut from the section above.
- Whenever possible, type directly in the input field instead of pasting from Word.
- Remove existing formatting via the Clear formatting option in the toolbar.
My post isn't being published
- Check that you've entered a title — a title is required.
- Check that your media file is within the allowed size limit (audio: max. 500 MB).
- Refresh the page and try again.
