Introduction
Group usage can be measured at two levels. At the organisation level, the Groups submenu under View provides an overview of all groups. At the group level, a group administrator can view detailed insights from within the group itself.
This article first describes the overview and then the per-group insights, including the permissions that apply at each level.
1. The overview under View › Groups
The overview is accessible via the left-hand navigation under Adoption insight › View › Groups. The Group insights page shows all groups within the organisation. This overview is also mentioned briefly on the View page, as part of the View statistics.
At the top is the Number of groups block, showing the total number of groups in the organisation, under the label Total number of groups in the organisation.
Group activity
The Group activity section shows a sortable and filterable table with all groups, under the description Manage and monitor all groups in the organisation.
| Column | Content |
|---|---|
| Group title | The name of the group. Clickable through to the detailed group insights. |
| Creation date | The date on which the group was created. |
| Administrators | The users with administrator rights within the group. |
| Members | The number of users who are members of the group. |
| Activities | Summary in the format X posts, Y documents, Z events. |
| Last activity | The date of the most recent activity. By default, the table is sorted in descending order on this column. |
Above the table is a search field with the placeholder Search by group title or administrators, which searches both the group name and the administrator's name.
Hidden groups appear in the overview with the title [HIDDEN]. The general columns remain visible; the group's content is shielded.
The overview under View › Groups is available to admins and content managers with access to Insights. It shows all groups in the organisation, including groups of which the administrator is not a member.
2. Per-group insights — from within the group
In addition to the organisation-wide overview, a group administrator can view detailed insights of their own group, from within the group itself.
The detail page shows the name of the group at the top, with the label Group insights below it, and in the top right the Go to group button that opens the group itself.
The detail page contains the following components:
- About this group: a brief explanation of the content and purpose of the page.
- Group summary: showing the number of Members of the group.
- Select period: two month fields. The period applies to all charts on the page.
- Unique views over time: tracks how content in the group is viewed, broken down by posts, pages and documents (legend: Total Views and Post Views).
- Post performance: an overview of posts in the group, with columns Title, Unique views, Likes and Comments, and a search field Search by title.
- Page performance: an overview of pages that belong to the group and how often they are visited.
- Document performance: an overview of documents that have been shared in the group and how often they are viewed.
Statistical data is only available for completed months. Data for the current month becomes available once the month has closed. When there is no data for the selected period, the section displays No data available.
Permissions — who sees what
Access to group insights differs per level:
| Level | Who has access | What is visible |
|---|---|---|
|
Overview (View › Groups) |
Admins and content managers with access to Insights. | All groups in the organisation, including those without membership. The content of hidden groups remains shielded. |
|
Per-group insights (from within the group) |
The administrator(s) of the group in question. | The detailed insights of that one group. Access requires an administrator role on the group. |
For closed groups, the detailed insights are not visible without an administrator role or access to the group. Those who can see the overview will only see the general columns of a closed group there.
Frequently asked questions
Why does it say [HIDDEN] instead of a group name?
- Hidden groups are displayed in the overview as [HIDDEN]. The general columns remain visible, but the content of the group is shielded.
A group shows "No data available"
- There is no activity of the relevant type for the selected period (posts, pages or documents).
- Adjust the period under Select period or check whether the chosen months have closed — data is only available for completed months.
