Introduction
Reach is the first metric in the Insights steps. The Reach score shows the percentage of activated accounts — users who have logged in at least once and are therefore reachable through the platform.
This article describes the definition of Reach, how the score is calculated, the elements on the Reach detail page, and concrete tips to influence Reach.
Reach comes before Visit, View, Interact and Contribute. The Reach score determines the absolute maximum of all subsequent metrics.
What is Reach?
Reach is the percentage of activated accounts relative to the total number of created accounts. An account is considered activated as soon as the user has successfully logged in at least once. From that moment on, the user is reachable through the platform via messages, notifications and campaigns.
Score calculation:
- Numerator: number of activated accounts.
- Denominator: total number of created accounts.
- Result: percentage, rounded to one decimal place.
The term activated refers to the first login, not to the creation of an account. Created accounts that have never logged in count towards the denominator, but not the numerator, and therefore lower the Reach score.
What is on the Reach page?
The Reach page can be accessed via the Reach tile on the main dashboard or via the left-hand navigation.
The page contains the following sections:
- Score card: the current score with the label % of created accounts that has been activated and the period PREVIOUS MONTH.
- Score calculation: an explanation of the numerator, denominator and result.
- Select period: selects the period for all charts and tables on this page.
- Activated accounts over time: chart comparing the growth of created and activated accounts.
Statistical data is only available for completed months. Data on the current month becomes available once the month has ended.
Interpreting the Reach score
When reading the Reach score, it makes sense to first look at the Activated accounts over time chart before steering on the percentage alone.
- Open the Reach page via the left-hand navigation or via the tile on the main dashboard.
- Select the desired period at Select period. This period applies to all charts and tables on the page.
- Review the Activated accounts over time chart. A growing denominator (created accounts) without proportional growth in the numerator (activated accounts) indicates that activation is lagging behind.
Tips to influence Reach
Reach is influenced by the extent to which users activate their account. Recommendations focus on simplifying login, using reminders, and making the platform visible within the organisation.

Frequently asked questions
Reach has suddenly dropped
- Check whether new accounts have recently been created (for example via an import or bulk upload). Many fresh accounts temporarily lower the Reach.
- Review the Activated accounts over time chart to see whether the denominator has grown or the numerator has dropped.
Why does Reach not reach 100%?
- A Reach of 100% is difficult to achieve in practice. There are almost always accounts that have been created for people who are no longer employed, for trials, or for roles without a digital workplace.
- Regular clean-up of inactive accounts helps to keep the Reach realistic.
- The use of shared read-only accounts can also have a negative impact on the Reach score.
